How we handle your information
Last updated 27 October 2026
This notice explains what personal information we collect through this website, why, and what your rights are. It covers the website, demo and early-access requests, and Care Intel Alerts, our weekly tender email. If your organisation becomes a Workspace client, how we handle information in the Care Intel workspace is set out in your agreement with us.
Who we are
Care Intel is a product of Vertex Platform Solutions. The data controller responsible for your information is Ricardo Calcina, trading as Vertex Platform Solutions.
For any question about this notice or your information, email ricardo@vertexplatformsolutions.com.
What we collect and why
When you request a demo
The form asks for:
- your name, work email address and organisation (required)
- your role, the services you deliver, where you deliver them and any message (optional)
- that you agree to us contacting you about your request
We also record the date of your request and how you reached the page (a campaign tag in the link, or the page that referred you), so we know which channels are useful.
We use this to reply to you, arrange and run a demo, and decide with you whether Care Intel suits your organisation. We send you one email confirming that we've received your request, and we get an email telling us about it.
Our lawful basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing us. We'll then stop contacting you and delete your request.
When you request document-review early access
We collect your name, work email, organisation, the reminders or guidance updates you are interested in, your consent and any optional message. We also record when you asked and campaign tags from the link, so we can understand which channels bring interest in this feature.
We use this to confirm receipt, email you about availability and ask questions about what would be useful. The feature is in development. This request creates no account or paid subscription, and we do not ask for documents at this stage.
Our lawful basis is your consent, given by ticking the early-access box. It applies to this feature, not general newsletters or the separate Alerts service. To withdraw, reply to an early-access email or contact ricardo@vertexplatformsolutions.com. We will stop contacting you about it and remove your request.
When you sign up for Care Intel Alerts
We collect:
- your work email address, your organisation's name (optional) and type, that you agree to sign up, whether you opted out of news and offers, and how you reached the page
- your business details: the services you deliver, areas you cover, CQC position and turnover, including older questionnaire answers where applicable
- your account sign-in details, the documents you upload, and facts extracted from their text for matching. You confirm suggestions before they change your saved business details.
- the digests we prepare and send you, the notices in them, any notice you mark as not relevant, and when you confirmed, subscribed or unsubscribed
- whether our emails to you were delivered, bounced or marked as spam, as reported by our email provider
- if you subscribe, your Stripe customer and subscription references, the subscription's status and when the current month ends. Your card details go to Stripe; we never see them.
We use this to provide Alerts: to match notices to your business information and read document evidence, check each digest before we send it, send your digests and the emails that go with them (confirming your address, setup questions, reminders, receipts and billing links), take payment and handle cancellations. We use your "not relevant" feedback to check how well your matches fit.
Our lawful basis is that we need the information to provide the service you signed up for, including your free first digest. We keep records of deliveries, bounces and complaints because we have a legitimate interest in running a reliable email service.
After your free digest we may email you once about subscribing, and from time to time about Care Intel. We do this because we have a legitimate interest in telling organisations about our services. For sole traders and partnerships, we rely on the rule that lets us email you about services similar to the one you signed up for. You can opt out when you sign up and from every such email, and we'll stop.
When you visit the website
Our hosting provider processes technical information needed to deliver pages to you and to protect the site from abuse, such as your IP address, browser type and the pages requested. We don't use analytics, advertising or tracking tools.
Cookies
This website doesn't set cookies, and it doesn't load fonts, scripts or other content from third parties. There is nothing to accept or decline. When you pay for Alerts or manage your billing, you're on Stripe's own pages, which use cookies under Stripe's policy.
Who helps us process it
We use these service providers. They act on our instructions and may not use your information for their own purposes.
Supabase
Receives demo and early-access requests and Alerts forms, handles account sign-in, stores business details and private documents, and runs the Alerts matching.
London, United Kingdom
DeepSeek
Reads text extracted from uploaded documents to return structured facts used in matching. It does not receive your account password or payment details.
Processing location and transfer safeguards: to be confirmed before public Alerts launch
Resend
Sends our emails (demo and early-access confirmations, Alerts setup emails, digests and billing emails) and tells us whether they were delivered, bounced or marked as spam.
United States (Resend, Inc.)
Stripe
Takes Alerts subscription payments and runs the billing page where you change your card or cancel. Stripe is also responsible for payment information in its own right, under its own privacy policy.
United Kingdom and United States (Stripe Payments UK Ltd and Stripe, Inc.)
Cloudflare
Hosts this website and processes the technical data needed to deliver it.
United States (Cloudflare, Inc.), served from a global network
Where information is processed outside the UK, we rely on safeguards recognised under UK data protection law, such as the UK–US data bridge or the UK's international data transfer agreements. We don't sell your information or share it with anyone else, unless the law requires us to.
How long we keep it
If your organisation doesn't become a client, we delete your demo or early-access request and our emails with you 12 months after our last contact, or sooner if you ask. If it does become a client, we keep them for as long as our agreement requires.
For Care Intel Alerts:
- if you don't confirm your email address, we delete your sign-up after 30 days
- while you subscribe, we keep your answers and your digest history so we can keep sending digests and avoid repeating notices
- if you don't subscribe, or you cancel, we delete your sign-up, answers and digest history 12 months after our last contact, or sooner if you ask
- we delete delivery and payment event records after 12 months
- Subscription cleanup does not delete your shared account, business profile or documents. You can download or remove documents through your secure account.
- Stripe keeps payment and invoice records for as long as the law requires, and we use them for our tax records
[Alerts account and document retention policy: to be added before launch]
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you
- correct information that is wrong or incomplete
- delete your information
- restrict how we use it, or object to our using it
- give it to you, or to another organisation, in a portable format
You can also tell us to stop sending you news and offers at any time, with the link in any such email.
You can also withdraw your consent at any time. To do any of these, email ricardo@vertexplatformsolutions.com. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please email ricardo@vertexplatformsolutions.com so we can put it right. We'll acknowledge your complaint within 30 days, look into it, and tell you what we've found and what we're doing about it. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
If we change how we handle your information, we'll update this page and the date at the top.
